1. Overview

Acconvo (“we”, “us”, “our”) is a revenue automation platform that connects to your CRM, reads inbound lead signals, and takes intelligent follow-up actions on your behalf. This Privacy Policy explains what data we collect, how we use it, and your rights in relation to it.

By using Acconvo, you agree to the practices described in this policy. If you do not agree, do not use the service.

2. Who This Policy Covers

This policy applies to:

  • Clients — businesses and individuals who subscribe to and operate Acconvo
  • Leads — individuals whose contact information is processed through the platform on behalf of our clients
  • Visitors — anyone who visits acconvo.com

Acconvo acts as a data processor when handling lead data on behalf of clients. Clients are the data controllers for that data and are responsible for obtaining lawful basis before passing lead data to Acconvo.

3. Data We Collect

3.1 Client Account Data

When you create an Acconvo account, we collect:

  • Name, email address, company name
  • Billing information (processed by our payment provider — we do not store card details)
  • CRM credentials (HubSpot access tokens — stored encrypted)
  • Gmail OAuth tokens (for sending emails on your behalf — stored encrypted)
  • WhatsApp Business API credentials
  • Slack webhook URLs

3.2 Lead Data (Processed on Behalf of Clients)

When a lead enters your CRM and triggers Acconvo, we receive and store:

  • Name, email address, phone number, company name, job title
  • Lead source and CRM record ID
  • Email content (subject, body) of messages sent and received
  • WhatsApp message content
  • Engagement signals (email opens, read receipts)
  • AI-generated intent classifications and qualification scores

3.3 Demo Request Data

When you fill in a contact or demo form on acconvo.com, we collect:

  • Name, email address, company, phone number, message
  • IP address, approximate location (country, city), browser and device information
  • Page referrer

3.4 Usage & Technical Data

  • Log data (API requests, errors, timestamps)
  • IP addresses and user agent strings
  • Feature usage patterns (no third-party analytics)

4. How We Use Your Data

We use collected data to:

  • Operate and deliver the Acconvo service to you
  • Send and receive emails and WhatsApp messages on your behalf
  • Classify lead intent and make automation decisions using AI
  • Sync lead status, scores, and notes back to your CRM
  • Detect sales inactivity and resume automation when appropriate
  • Generate handoff summaries for your sales reps
  • Respond to demo requests and onboard new clients
  • Monitor system performance and fix bugs
  • Send important service communications (never marketing without consent)

We do notsell your data or your leads' data to any third party. We do not use lead data from one client to train models or improve outcomes for another client.

5. AI Processing

Acconvo uses large language models (currently OpenAI's GPT-4o) to classify lead intent, generate reply messages, and summarise conversations. This means lead message content is sent to OpenAI's API for processing.

We use OpenAI's API under their data processing agreement. OpenAI does not use API inputs to train their models by default. For more, see OpenAI's API data usage policy.

6. Data Sharing & Third Parties

We share data only with the following categories of processors:

We may disclose data if required by law, court order, or to protect the rights and safety of Acconvo, our clients, or the public.

7. Data Retention

  • Lead data and conversation history — retained for the duration of your subscription plus 90 days after cancellation, then permanently deleted.
  • Event logs and task history — same as above.
  • Client account data — retained until account deletion is requested, plus any period required by applicable law.
  • Demo request submissions — retained for 24 months for business purposes, then deleted.
  • Backup data — may persist in encrypted backups for up to 30 additional days after deletion.

8. Data Security

We apply reasonable technical and organisational measures to protect data, including:

  • Encryption of credentials at rest (OAuth tokens, API keys)
  • HTTPS/TLS for all data in transit
  • Access controls — employees access only the data necessary for their role
  • Row-level security on the database
  • Regular dependency updates and security monitoring

9. Your Rights

Depending on where you are located, you may have rights under GDPR, India's Digital Personal Data Protection Act 2023, or other applicable laws, including:

  • Access — request a copy of data we hold about you
  • Correction — ask us to fix inaccurate data
  • Deletion — ask us to delete your data (subject to legal retention obligations)
  • Portability — receive your data in a machine-readable format
  • Objection — object to certain processing
  • Opt-out of automated decisions — where decisions have legal or similarly significant effects

To exercise any of these rights, email krishan@acconvo.com. We will respond within 30 days.

For leads:if you received a message via Acconvo and want your data removed, you may reply with “unsubscribe” — this will immediately stop all automation and flag your record for deletion. You can also email krishan@acconvo.com.

10. Cookies

acconvo.com uses only essential session cookies required for authentication. We do not use advertising cookies, tracking pixels, or third-party analytics scripts. We do not use cookies to track you across other websites.

11. Children

Acconvo is a B2B platform intended for use by businesses and professionals. We do not knowingly collect data from anyone under the age of 18.

12. Changes to This Policy

We may update this policy as the product evolves. If we make material changes, we will notify active clients by email at least 14 days before the change takes effect. The “last updated” date at the top of this page always reflects the current version.
